1. Who we are

docreview.be is a service of Accelerate Habits BV, established at Snapperstraat 27, 3511 Hasselt, België, company and VAT number BE 1030.473.362. Questions about this policy or your data: hello@docreview.be.

2. Two roles

docreview provides an environment in which a sender (for instance a real estate office or a software platform) shares a document with participants, who read it, leave comments and give their approval.

For the documents and participant data we act as processor: the sender decides which document is shared with whom and is the controller. We sign a data processing agreement with senders.
For this website and the contact form we are the controller ourselves.

3. What data we process

Review participants: name, e-mail address, the comments you leave, your approval or withdrawal, and their timestamps. This data is provided by the sender or arises from your use of the portal.
Document content: the document shared by the sender, including everything it contains. We do not read or assess that content.
Technical data: IP address, browser type and time of access, solely for security, troubleshooting and abuse prevention.
Contact form: name, e-mail address, organisation (optional) and your message.

4. Purposes and legal basis

Running the review round (inviting, reading, comments, approval, notifications on a new version): on behalf of the sender, based on the agreement between the sender and you and the data processing agreement with us.
Security and abuse prevention: our legitimate interest in keeping the service reliable.
Answering your question via the contact form: our legitimate interest and, where applicable, steps prior to entering into a contract.

We do not use your data for marketing and never sell it.

5. How long we keep data

Documents and review data: as long as the sender keeps the review round active, and afterwards 90 days unless the sender requests deletion sooner.
Technical log files: 90 days at most.
Contact form messages: up to 12 months after handling.

6. Who we share data with

The sender of the document and the other participants in the same round see your name, comments and approval; that is the core of the service.
Our hosting provider, with servers in the European Union.
Our e-mail service for sending invitations and notifications (Google Workspace, Google Ireland Ltd.).

We do not transfer data outside the European Economic Area, except where a service provider does so under safeguards approved by the EU.

7. Security

Access to a document runs through a personal link that cannot be guessed. All connections are encrypted (TLS). Access to our systems is limited to those who need it to deliver the service. Do not share your personal link: anyone who opens it can respond under your name.

8. Your rights

You have the right to access, rectify, erase and restrict your data, to object to processing and to data portability. For data in a review round, contact the sender first, who is the controller; we help the sender carry out your request. For contact form data, e-mail us directly. You can also lodge a complaint with the Belgian Data Protection Authority (Rue de la Presse 35, 1000 Brussels, dataprotectionauthority.be).

9. Cookies and external resources

We do not set tracking or advertising cookies and do not use analytics services on this website. The review portal uses at most a technical cookie needed to function. The fonts on these pages are loaded from Google Fonts, which passes your IP address to Google; this does not happen in the review portal itself.

10. Changes

We update this policy when the service changes. The version date at the top indicates which version applies.
